Overview

The staff page lists each staff member, and how much FTE is charged to each program. The staff records by default are sorted and grouped by Program. This can be changed to be sorted and grouped by name by clicking the Name heading.

Editing Staff Records

Start filling in the name field. It will search the human resources database for the name. If it finds the person select them from the list to populate their employee number.

For the FTE only use positive numbers. If the employee is District Funded, click the checkbox for it so your budget will not be charged for the portion of their salary.

District Funded Staff

Please note that this version of Budget Developer does not use negative numbers to represent staff paid for by the district. Instead there is a District Funded check box. Using negative numbers will throw warnings. Program Summaries are broken up into school funded and in brackets, district funded. The overall total at the bottom includes both. Please keep in mind that both of these summaries are based on what's being displayed. Using the search in the top right will adjust the values accordingly.

Linking Staff Records

Staff records are linked to the district staff table by the employee number. When adding a new staff record, please select the person if they pop up in the autofill. There is a script that runs nightly will attempt to fill in employee numbers based on the staff name. Not having an employee number there will throw an warning. Ignore the errors on to be hired employee records.

Error

Staff Record is not attached to an employee record.
  • Employee Number not entered or invalid.
Staff Record is attached to employee but there is no district staff record at this school.
  • There is no district staff record which means there may not have been an assignment created in payroll for this employee.
Employee does have an admin salary set.
  • Admin salaries are set in Budget Developer by the Secretary Treasurer.
Employee Type Mismatch (Teacher/Support).
  • The employee type does not match what is in the district staff record.
Employee admin status mismatch.
  • The admin status does not match what is in the district staff record.
Employee FTE/hours does not match district staff table.
The district staff record differs in the the FTE/hours for the employee. Keep in mind that these are calculated separately for school funded and district funded.


Note

Expect warnings in the Preliminary Budget as FTE/hours change and assignment records haven't necessarily been added to payroll yet.
